How to Transfer ELD Data During Inspection

Factor ELD explains how to prepare for an ELD data transfer during an inspection. Use this guide to review the supported method, requested date range, confirmation steps, and the documented fallback procedure.

Factor ELD

During an inspection, the driver should follow the ELD's supported transfer method and the safety official's request, then confirm whether the transfer completed. A transfer failure is not a reason to invent a method or expose unrelated credentials.

What this means for your fleet

Practice both the normal transfer flow and the product's documented fallback or display procedure. Capture the exact error, time, location, and selected transfer method for support and carrier follow-up.

Roadside transfer sequence

  1. Stop safely, open the installed ELD’s inspection workflow, and confirm the requested date range and driver record.
  2. Identify whether the registered device supports the telematics option (web services and email) or the local option (USB 2.0 and Bluetooth). Follow only the supported method requested by the official.
  3. Enter the routing code or comment exactly as requested, initiate transfer, and wait for the device’s completion or failure result.
  4. Confirm receipt with the official. If transfer fails, retain the error and use the required display or printout capability and the provider’s documented fallback.
  5. After the inspection, preserve the transfer result, time, method, error/support case, and any official report.

Screen names can differ by app version. Follow the manual for your installed Factor ELD.

What to check

CheckHow to verify
1. Confirm supported telematics or local methodCapture the installed ELD's supported transfer option and exact method—web services/email or USB/Bluetooth—plus device and software version.
2. Select the requested date rangeSave the requested start/end dates, driver and vehicle selection, returned record boundaries, and any missing-day exception.
3. Enter the required output-file commentRetain the exact routing code or output-file comment entered, the receiving instruction, timestamp, and generated receipt.
4. Confirm completionKeep the success or failure receipt, transfer method, completion time, file identifier, and independent confirmation that the result was readable.
5. Use the documented fallback on failureRecord the failed method and error, then retain the display, printout, alternate transfer, or support evidence used under the documented fallback.

Common failure modes

  • Emailing personal screenshots without instruction.
  • Sharing passwords.
  • Assuming a spinning screen means success.

Limits and exceptions

Use this guide to plan your checks; it does not determine whether a legal exception applies, certify a record, or guarantee compliance, safety, savings, or audit results. Preserve original ELD records and edit history. Use the current rules to determine applicability and the manual for your installed device for operating instructions.

Factor PT30: display and transfer are separate actions

These labels are documented for the PT30/FTR321 entry and its manual, checked September 14, 2026. Work while parked and follow the officer’s instructions.

  1. Open Menu → DOT Inspection.
  2. For on-screen review, select Begin Inspection to show the current 24-hour period and previous seven days.
  3. For an electronic output file, choose Transfer Logs and the requested Web Service or Email method. Enter the officer-provided comment in Output File Comment.
  4. The PT30 registry describes the web-service final control as Transfer Logs and the email final control as Transfer Data. The older DOT instruction sheet uses Transfer Logs for the final action. Follow the prompts for the installed version and retain the actual result or error.

Factor FRS/FRS278 has a separate documented path: DOT Inspection → Send Logs → Web Service or Email → SEND. Do not mix these instructions with PT30. Bluetooth pairing to the truck does not establish support for local Bluetooth transfer to an officer.

If labels do not match your installed system, identify its model and app version before proceeding. Contact Factor using the current listing: +1 330 537 8151 or support247@factoreld.com. Ask Factor about support hours and expected response times.
