Start with one measurable task
Choose an activity such as reviewing unidentified driving or preparing an inspection record. Record minutes per completed task before and after a change, using comparable drivers, vehicles and workload. Count exceptions that still need manual work.
A worked calculation
Illustrative example, not a Factor customer result: reviewing one truck’s daily records takes 12 minutes before a workflow change and 9 minutes after it. For 10 trucks over 20 workdays, the difference is 3 × 10 × 20 = 600 minutes, or 10 hours. That measures review time only; it does not establish a percentage reduction in total operating costs.
Subtract training, setup and recurring administration from any claimed saving. If the fleet changes routes or staffing during the comparison, record that change before attributing the result to the ELD.
Keep product categories separate
ELD driving records do not establish that a plan includes live dispatch tracking, camera coaching, maintenance alerts or fuel-card integrations. Identify the exact additional feature and its cost before using it in the business case.
