How to Save on ELD Costs

Factor ELD helps fleets look for ELD savings across the full cost of ownership. Use this guide to compare hardware, connectivity, support, replacements, and contract terms beyond the monthly price.

Factor ELD

To reduce ELD costs, compare plans against your fleet’s required tasks and total operating costs. Confirm the exact device and software version on FMCSA’s registered list before you buy. Registration reflects manufacturer self-certification and is not an FMCSA endorsement.

What this means for your fleet

Compare total cost for the same term and fleet size, including hardware, cables, mobile devices, data, activation, training, support, integrations, replacements, and exit costs. Recheck every quote at purchase.

Total-cost worksheet

For each quoted plan, add: recurring subscription × trucks × months; hardware and cable; mobile device and data; installation; training and administrator time; replacement and shipping; integrations; exports and post-cancellation access; taxes and contract exit costs. Subtract only a discount stated in the same dated quote. Record the quote date, plan name, included items, renewal rule, and cancellation term; do not copy a public price into the model without current written terms.

What to check

CheckHow to verify
1. Build a three-year cost modelKeep the fleet size, 36-month horizon, every hardware and recurring cost, implementation labor, assumptions, formula, reviewer, and sensitivity range.
2. Separate required and optional featuresBuild a dated requirement map that labels each feature required, optional, excluded, or unresolved and cites the rule, workflow, or owner behind the label.
3. Price installation and replacementRetain vehicle-specific installation estimates plus cable, mounting, replacement, shipping, downtime, tax, and internal labor amounts from dated evidence.
4. Review contract termsExtract renewal, minimum term, price-change, cancellation, equipment-return, data-access, and post-exit obligations from the exact quoted contract.
5. Measure support and admin laborMeasure named support and administrator tasks over a fixed baseline period; keep ticket counts, minutes, denominator, exclusions, comparison, and threshold.

Common failure modes

  • Comparing unlike quote terms.
  • Ignoring vehicle-specific cables.
  • Assuming free hardware has no contract cost.

Limits and exceptions

Use this guide to plan your checks; it does not determine whether a legal exception applies, certify a record, or guarantee compliance, safety, savings, or audit results. Preserve original ELD records and edit history. Use the current rules to determine applicability and the manual for your installed device for operating instructions.

What FMCSA registration means

FMCSA describes devices on its official list as self-certified by their manufacturers and states that listing is not an agency endorsement. Verify the exact device name, hardware model, software version, registration ID, and current status in the official FMCSA ELD list before purchase or deployment.
