When the VIN shown by an ELD does not match the physical VIN, preserve the event and compare the physical VIN, selected vehicle, device and cable assignment, engine state, and recent vehicle or device swaps. Correct the mapping only under the provider's procedure.
What this means for your fleet
Capture the displayed VIN, physical VIN, vehicle profile, device serial, cable, engine state, and recent swap or repair history. Ask support to identify the source mapping and preserve the ticket.
Wrong-VIN correction sequence
- Photograph or record the physical VIN and preserve the ELD event showing the different VIN.
- Confirm the driver selected the correct vehicle profile and match the ELD serial and cable to that profile.
- Check engine state, recent device or vehicle swaps, maintenance, engine replacement, and profile edits.
- Open a support case with both VINs, timestamps, truck, device, cable, and event identifiers; ask which source supplied the value.
- Apply only the provider’s documented mapping correction. Do not rewrite historical duty events to make them resemble the new assignment.
- Run an engine-on and short movement test; verify VIN, miles, engine hours, and vehicle assignment in new events.
What to check
Use these checks before changing a log, policy, device, integration, or buying decision.
| Check | How to verify |
|---|---|
| 1. Read the physical VIN | Photograph or record the physical VIN and retain vehicle identity, timestamp, reviewer, and source location on the vehicle. |
| 2. Verify the selected vehicle | Save the selected vehicle profile, displayed VIN, driver/account, device serial, app version, assignment time, and mismatch screenshot. |
| 3. Check device and cable assignment | Keep the physical VIN, vehicle profile, device serial, connector/cable, assignment mapping, provider correction, and same-vehicle engine-on result. |
| 4. Power-cycle only under procedure | Retain the exact provider procedure, pre-cycle screenshots and record state, cycle time, user, affected functions, and post-cycle result. |
| 5. Confirm new engine-on events after correction | Save corrected engine-on VIN, miles and engine hours, movement events, device/app versions, original records, support case, defect, and retest. |
Common failure modes
- Typing over the VIN without finding the source.
- Mixing device serials.
- Editing historical logs to match the new assignment.
Limits and exceptions
This guide does not decide a fact-specific legal exception, certify a record, or guarantee a compliance, safety, cost, or audit outcome. Keep the original ELD record and any edit history. Use the current official rule for applicability and the exact installed-device manual for screen-by-screen actions.
Sources, review date, and limits

Reproduce the issue before changing the record
Bring the exact event time, vehicle, driver, device and app version, screenshot or code, and recent maintenance or reassignment history. Factor ELD can demonstrate its current product; rule applicability remains a fleet compliance decision.
